At Shaun Life Financial, we are committed to protecting the privacy and confidentiality of the personal information of our clients and employees. This policy applies to our employees and any third-party service providers or representatives with whom we contract.

Shaun Medwynter is the appointed Privacy Compliance Officer, responsible for ensuring our compliance with privacy laws and principles.

We collect personal information primarily to provide life insurance products and services, and for administrative purposes.

 

Principle 3 - Consent

We obtain consent for the collection, use, and disclosure of personal information, except where legally exempt.

 

Principle 4 - Limit Collection of Information

We limit the collection of personal information to what is necessary for the purposes identified.

 

Principle 5 - Use, Disclosure, Retention

​

Personal information is used and disclosed only for the purposes for which it was collected, unless consent is given or as required by law. We retain personal information only as long as necessary.

We strive to keep personal information as accurate, complete, and up-to-date as necessary.

We address any complaints about our compliance with these principles promptly and effectively.

20Appendix A: Safeguarding Information

​

  • Physical Safeguards: Secure office premises with controlled access. Locked file cabinets for storing physical documents containing personal information.

  • Operational Safeguards: Policies and procedures for handling personal information. Employee training on privacy and data protection. Access to personal information on a need-to-know basis.

  • Technological Safeguards: Use of secure networks and encryption for electronic data. Regular backups and secure storage of electronic records. Password protection and access controls for IT systems.

 

Appendix B: Receiving and Processing Access Requests - The Rules

​

All requests for access to personal information must be made in writing to the Privacy Compliance Officer. We will respond to requests within a reasonable timeframe, not exceeding 30 days. If additional time is required, the individual will be informed within the initial 30-day period. Assistance will be provided to individuals to help them make their access request. Minimal or no cost will be charged for providing access to personal information.

 

Appendix C: Receiving and Responding to Inquiries and Customer Complaints – Our Procedures

All privacy-related complaints or inquiries should be directed to the Privacy Compliance Officer. Complaints will be acknowledged and investigated promptly. Appropriate measures will be taken if a complaint is found to be justified, including amending policies and procedures if necessary. Individuals will be informed of the outcome of the investigation regarding their complaint.
